AI answers first. Your admissions team takes it from there.
Automate Admits is admissions software for addiction treatment and behavioral health programs. When someone seeking treatment, or a family member, messages you on Facebook Messenger, Instagram, website chat or text, an AI agent replies in seconds, in your voice. It asks your admissions questions, raises insurance early, books calls in their time zone and hands crises to your team. Your team works every lead from one shared inbox, with a summary at handoff.
What they experience. What your team sees.
Follow one message sent to your program at 2 AM. At each step, here is what the person reaching out sees, and what your admissions team gets at the same moment.
- 1
Someone reaches out
The person reaching outTheir first message on Messenger gets a warm reply in seconds, not a chatbot script. If they come back later on Instagram, the conversation picks up where it left off.
Your admissions teamA thread opens in your shared inbox with contact info and lifecycle stage pinned beside it. It stays one thread per contact, whichever channel they write on.
- 2
Your questions, your order
The person reaching outThe agent asks who needs help, where they are and which program fits. If someone is in danger or acute withdrawal, it stops speaking for your program.
Your admissions teamCrisis threads go to your team with the whole conversation. Hot, complex and out of scope threads are flagged and routed to the right person with a full summary.
- 3
Insurance comes up early
The person reaching outThey are asked about insurance before any call is booked. Medicaid questions are answered for their state from the plans your program does and does not take, not guessed.
Your admissions teamOut of network and self pay leads reach coordinators with that already known.
- 4
Booked in their time zone
The person reaching outThey share a phone number and confirm their time zone, then the agent books the call in the same thread, so it never lands at 3 AM their time.
Your admissions teamThe call appears on your calendar with your local time and theirs side by side. Your team gets an email reminder ahead of it, on timing you set.
- 5
Ready for contact handoff
The person reaching outIf a coordinator takes over, the AI steps aside. The next reply comes from a person, in the same conversation.
Your admissions teamWith a phone number, a payer and a program, the lead is ready for contact. Coordinators get one summary of everything the person said, not a transcript to reread.
- 6
The call and its outcome
The person reaching outThey never get automated reminders before the call or automated follow ups after a missed one. Those alerts go to your team.
Your admissions teamDial in one tap from the thread on your phone, with history and stage in view. Log the outcome: made, missed or confirmed for admissions. Missed queues a follow up.
What runs behind every conversation
One shared inbox
Smart folders keep live counts for new, hot, ready, scheduled, unreplied and assigned to you. Assign threads, leave private notes the contact never sees, and take over in one tap.
The agent you configure
You set its persona, tone, goals, guardrails and knowledge sources. Website chat and text each run their own agent.
Calls and texts
Calls and messages are logged to one timeline per lead. Texting and calling from the app need SMS and voice activation, including carrier review.
Pipeline and analytics
Leads move through New, Hot, Ready and Scheduled. The dashboard tracks response time, the share of conversations the AI handled and booked call conversion. Calls confirmed for admissions feed reporting.
Where your data lives
The app, database and files, PHI included, run on HIPAA eligible AWS under a signed BAA. Data is encrypted in transit and at rest, with access set by role.
Hunter Shepard
Founder & CEO, Automate Admits
Hunter Shepard's eight years in the addiction treatment industry have taken him through admissions, business development and operations roles in the United States, the United Kingdom, South Africa and Thailand. He also built one of the largest addiction treatment and recovery focused social media platforms in the world, with more than 2 million followers.
He has mastered both organic and paid lead generation. He knows what it takes to get someone searching for help to reach out. The job is not done when they do: a message left unanswered until morning can be a person who does not reach out again.
That is why he founded Automate Admits: to help admissions teams around the country succeed, and to make sure every single person searching for treatment gets a response and meaningful resources. He believes treatment centers need to get ahead of the AI curve, and Automate Admits is his way of getting them there. He uses it in his own daily work: it is the tool he wishes he had in every role he has held.

Every person who reaches out deserves an answer.
Someone looking for treatment, or a family member acting on their behalf, may reach out only once, at whatever hour they finally decide to ask. If no one answers, that moment can pass.
Automate Admits responds to Facebook Messenger, Instagram, website chat and text leads around the clock, qualifies them the way your team would, and hands hot leads to your admissions staff with the full conversation, so they can focus on the calls only a person should make.
Who it is for
Admissions and intake teams at addiction treatment and behavioral health programs: detox, residential, PHP, IOP and outpatient. If your leads arrive through Messenger, Instagram, your website or text, and the first questions are always who needs help, where they are and what insurance they have, this was built for you.
